How we use AI
A plain statement of where AI is used in the Harvey Rupert service and where it is not. AI helps with reading, sorting and drafting. Nothing goes live on your website, and no customer email goes out, until you approve it.
Where AI is used
- Website updates by email. When you email a change, an AI language model reads it and turns it into one proposed update: a text change, a new job post or closing a job. It can only fill in the fields your site allows. If the email asks for more than one change, or for something outside those fields, the request is treated as unclear and you are asked for more detail.
- The WhatsApp assistant. On plans with WhatsApp, an AI assistant takes your messages. It is an assistant, not a person, and says so if asked. It can show your recent enquiries, read your site’s editable text and prepare a text change, a job post or closing a job for you to approve. It cannot change design, layout, images, pages, billing or contracts.
- Instant Quote and InvoiceOS (add-ons). The add-ons are currently for Australian firms only. An AI language model reads the message a firm sends and picks out only the details the firm actually wrote, such as customer name, job and line items. It does not invent prices, quantities, addresses or due dates, and it cannot change the firm’s rates or seller details. The firm reviews every draft.
- These guides and the site’s copy. The guides are drafted with AI help and reviewed by Pat before publishing. Each carries that line, its dates and its sources.
Where it is not used
- Survey judgements. AI does not make surveying decisions or measure, set out or locate anything. The guides give website advice only.
- Your enquiries. A form on your website sends the enquiry straight to your email. AI is not in that path. WhatsApp enquiry alerts come with Paddock or the WhatsApp add-on.
- Publishing. AI cannot publish. Every website change is previewed and goes live only after you confirm it by replying YES (with the code shown in the preview).
- Emailing your customers. For the quote and invoice add-ons, the firm approves the customer email before it is sent. AI does not send it.
What you approve
Each website change, whether it starts by email or on WhatsApp, comes back to you as a preview. You reply YES (with the code shown in the preview) to publish it. If you do not reply, it does not go live. If something is wrong, reply NO and nothing changes.
What this page does not claim
The guides are website advice only. They are not surveying, legal or regulatory advice, and nothing here says a website meets any professional body’s or regulator’s rules.
